Choosing an HRMS in India: what to check beyond the demo

Most HRMS demos look alike. The differences show up in statutory payroll, the files you must upload, and how a vendor handles rule changes.

What is an HRMS?

An HRMS (human resource management system) is software that keeps employee records and runs HR work in one place: attendance, leave, payroll, hiring, performance and exits. In India it must also handle PF, ESIC, state professional tax, TDS and the files filed with government portals.

An India checklist for any vendor, including us

  • Does PF follow the wage ceiling in force for each month? It rises from ₹15,000 to ₹25,000 from the September 2026 salary month.
  • Is professional tax applied by the employee’s work state, including states with half-yearly or gender-based slabs?
  • Does it use the labour-code wage definition (at least 50% of pay) for PF, gratuity and leave encashment, and can you control when it starts?
  • Are the new TDS form numbers supported: Form 138 (24Q), Form 130 (16) and Form 124 (12BB) from 1 April 2026?
  • Can it produce the ECR, ESIC and TDS return files, and will the vendor tell you what has and has not been tested on the portals?
